To all guests, participants, and sponsors, to ensure the safety and comfort of all attendees, please observe the following during your attendance in the conference:

  • As a courtesy to your colleagues, please silent all mobile devices while in the scientific sessions.
  • Audio or video recording is strictly prohibited in the scientific sessions, instructional courses, and exhibition areas.
  • Individual guests will be responsible for their own incidental expenses. All charges incurred are to be settle by the individual upon departure.
  • Upon check-in, you will be required by the front desk to present a credit card on which a sufficient amount of pre-authorization can be obtained to cover the anticipated room charges.
  • No-show rooms will be release at 12 noon the following date unless reconfirmed as ‘arrived’ by the individual or company.
  • In the event that confirmed reservations fail to check-in, the individual/company will be charged in full of the accommodation costs for each of the nights reserved an not used.
  • The conference will not assume any liability of loss, damage, or theft of any item left in the Exhibition halls and Session rooms. All belongings are to be fully attended by the owner.
  • No food and beverages may be brought into the venue for consumption, unless prior consent from the authority has been obtained and this may require additional charges.
  • Each participant assumes and understands that participating in the events is voluntary and may involve certain risks of physical injury, damage to property, and other damages or losses that may be sustained by the participant.
  • Mandatory Badge Wear: All attendees, including participants, speakers, sponsors, and staff, are required to wear their conference badges at all times during the event. This helps to ensure identification and security within the conference venue.
  • Visible Placement: Badges should be worn prominently on the upper body, preferably on the chest area, where they are easily visible to other attendees. This allows for easy identification and networking opportunities.
  • Proper Display: Badges should be displayed in an upright position and not covered or obscured by clothing or accessories. This ensures that the attendee’s name, affiliation, and other relevant information are clearly visible to others.
  • Badge Integrity: Badges should not be altered, tampered with, or modified in any way. This includes covering or removing any part of the badge, such as logos or security features. Attendees found tampering with badges may be subject to disciplinary action.
  • Replacement Policy: In the event of a lost or damaged badge, attendees should report it immediately to the conference registration desk. A replacement badge will be issued, subject to verification of identity. A 200 AED administrative fee will be collected for the replacement badge.
  • Unauthorized Badge Use: Attendees are strictly prohibited from lending or transferring their badges to others. Each badge is assigned to a specific individual and should not be used by anyone else.
  • Security Checkpoints: Attendees may be required to present their badges at security checkpoints or designated areas for access to specific sessions, workshops, or restricted areas of the conference venue. Cooperation with security personnel is essential.
  • Badge Return: At the end of the conference, attendees should return their badges to the designated drop-off points or registration desk. Failure to return the badge may result in additional charges or penalties.
  • Respectful Communication: When engaging with other attendees, it is important to refer to individuals by their names or the information displayed on their badges. This fosters a respectful and inclusive environment for all participants.
  • Enforcement: The conference organizers and staff reserve the right to enforce these badge rules and take appropriate action in case of non-compliance. This may include denial of access to certain conference areas or removal from the event.
  • Age Requirement: The scientific conference is open to participants who are 18 years of age or older. This age requirement ensures that attendees can fully engage in the conference proceedings and adhere to any legal and ethical considerations related to the content and activities of the event.
  • Identification: During the registration process, participants may be required to provide proof of age, such as a valid government-issued identification document (e.g., passport, driver’s license). This is necessary to verify eligibility and maintain compliance with the age requirement.
  • Accompanied Minors: The conference organizers do not permit minors under the age of 18 to attend the event, even if accompanied by a parent or guardian. This policy is in place to ensure the safety and comfort of all participants and to maintain the focused and professional nature of the conference.
  • Exceptions: In exceptional cases where a minor may have a unique contribution or role in the conference, such as a young prodigy or invited speaker, the organizers may consider granting special permission on a case-by-case basis. These exceptions would be evaluated and approved by the conference committee.
  • Networking Events: Some scientific conferences may include social or networking events outside of the main conference sessions. These events may have specific age restrictions, such as being limited to participants who are 21 years of age or older if alcohol is being served. Attendees should carefully review event details and adhere to any age restrictions that apply.
  • Liability and Responsibility: The conference organizers, sponsors, and venue management are not liable for any issues or incidents related to participants who falsify their age or misrepresent their eligibility. It is the responsibility of each participant to comply with the age requirement and provide accurate information during the registration process.

Participant’s Accompanying Person/s

  • Accompanying Persons are the people who accompany the participants at the conference. If they fall under target audience of the conference they can purchase their own tickets and participate.
  • Accompanying persons that are not falling under the target audience category of the conference, will not be allowed access to the conference.
  • In order to register accompanying persons, you have to be a registered participant.
  • Kindly note that reservations are made on a “first come first served” basis.

Photos, Videos, and Voice Recording

  • Respect for Privacy: As a conference participant, it is important to respect the privacy of presenters, speakers, and fellow attendees. Taking photos, videos, or voice recordings without explicit permission can invade the privacy of individuals and disrupt the conference environment.
  • Prohibition Policy: The conference has a strict policy prohibiting the unauthorized capture of photos, videos, or voice recordings during sessions, workshops, and other conference activities. This policy is in place to preserve the integrity of the presentations, protect intellectual property rights, and ensure a safe and comfortable environment for all participants.
  • Focus and Engagement: The prohibition on capturing media helps to maintain the focus and engagement of both presenters and attendees. It allows everyone to fully participate in discussions, ask questions, and share ideas without fear of being recorded or having their words taken out of context.
  • Respect Intellectual Property: Presenters and speakers invest time and effort into preparing their content. Taking unauthorized recordings infringes upon their intellectual property rights and can discourage them from sharing their knowledge and expertise in the future.
  • Exception for Official Documentation: The conference organizers may arrange for official photography, videography, or audio recording to document the event. This documentation is typically conducted by authorized professionals and serves the purpose of creating a record of the conference for promotional or archival purposes. Participants will be informed in advance if such documentation will take place.
  • Requests for Permission: If you believe there is a valid reason to capture media during a specific session, workshop, or activity, seek permission from the presenter or the conference organizers before doing so. Respect their decision if they decline your request.
  • Enforcement of the Policy: The conference organizers and staff reserve the right to enforce the prohibition policy and take appropriate action in case of non-compliance. This may include issuing warnings, confiscating recording devices, or even denying access to certain conference areas.
  • Social Media Guidelines: While taking photos, videos, or voice recordings during sessions is not allowed, participants are encouraged to share their conference experience on social media by posting text-based updates, sharing insights, or using designated event hashtags. However, it is important to respect the privacy and intellectual property of others when doing so.

All meals and breaks included with your registration fee will be served at the venue. The schedule for meals and breaks can be found in the conference program.

Please note that breakfast and dinner are not included as part of the conference registration. Participants are responsible for arranging their own breakfast and dinner outside of the provided meals and breaks.

  • Reporting Lost Items: If you misplace an item during the conference, please report it as soon as possible. You can do this by visiting the conference registration desk, which serves as the central location for reporting lost items.
  • Lost and Found Area: The venue has set up a dedicated lost and found area where you can inquire about and retrieve your lost belongings.
  • Item Description: When reporting a lost item, please provide as much detail as possible. Include a thorough description, including any unique features, brand, color, and size. The more information you provide, the better our chances of identifying and returning your item to you.
  • Identification Verification: For security purposes and to prevent fraudulent claims, please be prepared to provide proper identification and proof of ownership when retrieving a lost item. This may involve presenting a photo ID, providing a detailed description of the lost item, or providing supporting documents such as purchase receipts or unique identifiers.
  • Timeframe for Retrieval: We kindly request that you claim your lost items within a specified timeframe. This timeframe typically aligns with the duration of the conference or a specific number of days. After this designated period, any unclaimed items may be handled according to the hotel venue’s policy, which could involve donating them to charity, disposing of them, or retaining them for a longer period.
  • Privacy and Data Protection: We handle lost and found information with utmost respect for privacy. Any personal information you provide will be stored securely, and we will adhere to all applicable data protection regulations.
  • Disposal of Unclaimed Items: We have a clear policy in place for the disposal of unclaimed items after the designated timeframe. This policy adheres to local laws and regulations and takes into account any ethical considerations.
  • Communication with Participants: We will keep you informed about the status of your lost item. We will provide updates regarding whether your item has been found, identified, or returned. Rest assured that if we locate your lost item, we will promptly notify you.

  • Invited faculty will be participating at the faculty dinner.
  • Only selected invited faculty will take part in the dinner. Other participants will not be allowed.
  • There will not be any entertainment activities in conjunction with the conference.

Disclaimer

The Conference Organizer shall not be held responsible for any delays or failures in the performance of its obligations herunder, to the extent that such delay or failure is caused by circumstances beyond its reasonable control, including but not limited to fire, flood, strike, civil or governmental authority, acts of God, acts of terrorism, acts of war, epidemics, the unavailability of the venue, or other similar causes, and where such delay or failure is without the fault or negligence of the Conference Organizer or its subcontractores. In the even that the conference cannot be held or is postponed due to any of these reasons, the Conference Organizer shall not be liable for any damages, costs, or losses incurred by attendees, such as transportation costs, accomodation costs, or financial losses. Refund and fee transfer requests will be reviewed on a situational basis, and any decisions will be made at the discretion of the Conference Organizer upon receipt of a written request.

Anyone found to be in violation of the regulations, as determined by the Conference Organizer, will forfeit any rights or claims arising from the enforcement of these rules. The Conference Organizer reserves the right, at its sole discretion and without refund, to refuse admittance to or expel from the conference anyone who is behaving in a manner that could disrupt the conference or disturb other attendees.

By participating in the conference, each attendee confrims that they have read, understood, and agreed to the terms, regulations, and policies, which are incorporated herein by reference.

The Conference Organizer and the committee reserve the right to make changes to the terms at any time without prior notice. In the event that any term or provision of the terms is deemed invalid, illegal, or unenforceable in any respect, such term or provision shall be severed and shall not affect the validity and enforceability of the remaining terms or provisions.

The Conference Organizer reserves the right to refuse admission or eject any person from the conference whose conduct is deemed disorderly or unbecoming, in compliance with accreditation requirements. To ensure a bias-free presentation, the Conference Organizer ensures that anyone in a position to control the content of the educational activity has disclosed all relevant financial relationships with any commercial interest, and reported conflicts are managed by a designated official.
