  • Adhere to all Abu Dhabi’s regulations in this website as well as all the regulations sent to you through the Speaker’s Declaration form.
  • All materials that you have provided must be your own personal original work; it does not infringe upon the intellectual rights of any third party.
  • The conference/PCO is free from all claims of every kind, on account of using your materials.
  • Adhere to the time allotted, specified by the session chair.
  • Notify the conference in the event that an emergency should prevent you from meeting your obligations as a speaker.
  • No compensation/honorarium/incentive/royalties/reimbursement in connection with your presentation is due unless otherwise agreed upon by the committee in written contract.
  • No any types of promotion, marketing or selling of any product or service without prior approval of the PCO and the committee.
  • The chairman of the sessions guarantees the respect of speaking time of moderators, panelists and speakers.
  • The sessions SLOTS must start on time and not exceeded on the time allotted.
    In order to keep your talk on schedule, consider including slides based on – a slide per minute.
    Please note that only Microsoft Powerpoint presentation is compatible with the system used to projections presentation. Thus, we require a format in .pptx file only.
  • You should bring your presentation, including all the inserted video in a USB Memory stick or an external hard drive.
  • A dedicated team of expert technicians will assist the speakers with uploading and verifying their presentations.
  • Each session room will be equipped with a PC at the lectern, which is connected to the projector.
  • To get full privileges of speakers, you need to send your presentations to the organizing committee 8 weeks before the conference.

We highly recommend that you familiarize yourself with the location of the session halls assigned for your presentation(s).

  • It is important to ensure that all materials you provide are your own original work and do not infringe upon the intellectual rights of any third party. By submitting your materials, you acknowledge that the Professional Conference Organizer (PCO) is free from any claims of every kind arising from the use of your materials.
  • Please adhere to the allotted time specified by the session chair. Keeping presentations within the designated time frame allows for a smooth flow of the conference schedule. If an emergency prevents you from fulfilling your obligations as a speaker, please notify the organizers promptly.
  • Unless otherwise agreed upon in a written contract with the organizers, no compensation, honorarium, incentive, royalties, or reimbursement is due in connection with your presentation.
    Any form of promotion, marketing, or selling of products or services during the conference requires prior approval from the PCO and the organizer.
  • The chairpersons of the sessions are responsible for ensuring that the speaking time of moderators, panelists, and speakers is respected. It is important that sessions start on time and do not exceed the allocated time.
  • To maintain the schedule of your presentation, we suggest considering a guideline of approximately one slide per minute.

The 3rd ACIC production team is using Preseria to collect all presentation files. The room you will be speaking in will be fully equipped for your presentation, but we do insist that your presentation is run from the production-provided laptops/equipment. For that reason, no personal laptops may be used for presentations.

Presentations should be formatted for standard screen (16:9). All presentations must be in a PowerPoint (.pptx file).

We recommend an aspect ratio of 16:9 for the presentation slides.

  1. Show more than 1 slide per minute. For a 10-minute presentation, this means approximately 12 slides Maximum.
  2. Use a minimum font size of 14.
  3. Avoid using fancy or novelty fonts. Please use any of the following presentation fonts.
  • Tahoma
  • Verdana
  • Impact
  • Georgia
  • Palatino Linotype

 

Please note that the conference computers in the session halls are being supplied with Microsoft Office.

  • Presentation must be prepared in English.
  • All presentations should be in PowerPoint format and PC compatible.
  • Save your file with a .pptx extension for better compatibility.
  • Use the ‘Insert’ function to integrate media elements, such as images and video.
  • Try to limit the size of your videos and sounds to 1GB and use formats such as .mp4 and .wmv if possible.
  • Please make sure to check all your presentations in the session hall where your lecture is taking place during a coffee or lunch break prior to your session, do this at least 30 minutes before the start of the session.
  • Arrive at the session area at least 10 minutes prior to the published start time of the session and introduce yourself to the moderator/chairperson, review the timing method, be sure they know how to pronounce your name.
  • Please sit in the front row for convenient access to the stage.
  • Disable automatic advanced timer and internet connection.
  • Please use precise text with a maximum of 6-8 lines containing 5-6 words.
  • Save each presentation in a separate file which includes all the inserted videos.
  • Please note that under no circumstances will personal laptops be used in the session rooms in order to avoid delay of the program.
  • We encourage all speakers to upload their presentation slides to the preseria link provided to them.
  • If you wish to modify your presentation after uploading (assuming this is before the deadline given), please edit the document on your own computer, log back in, and upload your new version using the same filename. This way we will always have your latest presentation ready.
  • If you have more than one presentation, when you log in to the Preseria upload portal, you will find sections corresponding to the times for all of your presentations. Please be sure that you upload the correct file to the corresponding time slot, or it will not be available at the time you are scheduled to present.
  • You may also visit the speaker’s room (onsite) to check your presentation at least 2 hours before the start of the session.

 

All presentation files must be uploaded to Preseria no later than October 14, 2024 at 5:00 p.m. To upload your files, please click on the “Register / Login” button above. You will be taken to a registration page where you will be asked to create a password for your Preseria account. If you are already registered, you will be taken to the login page.

Selection of chairpersons and members of panels shall be made by the scientific committee and the chairman of the conference. The members of the chair and panel will be selected from the list of the speakers. Chairpersons and panelists must have at least 1 oral presentation during the conference to be nominated.

Certificates will be emailed post event within the following 2 weeks.

As a confirmed speaker, the following requirements must be submitted by August 15, 2024:

  • Speaker’s Declaration Form DOWNLOAD HERE filled out with a handwritten signature (not typed)

  • Draft Presentation DOWNLOAD HERE including citations/references
  • Clear, colored passport copy (PDF) – required for all nationalities

The Conference Organizer shall not be held responsible for any delays or failures in the performance of its obligations herunder, to the extent that such delay or failure is caused by circumstances beyond its reasonable control, including but not limited to fire, flood, strike, civil or governmental authority, acts of God, acts of terrorism, acts of war, epidemics, the unavailability of the venue, or other similar causes, and where such delay or failure is without the fault or negligence of the Conference Organizer or its subcontractores. In the even that the conference cannot be held or is postponed due to any of these reasons, the Conference Organizer shall not be liable for any damages, costs, or losses incurred by attendees, such as transportation costs, accomodation costs, or financial losses. Refund and fee transfer requests will be reviewed on a situational basis, and any decisions will be made at the discretion of the Conference Organizer upon receipt of a written request.

Anyone found to be in violation of the regulations, as determined by the Conference Organizer, will forfeit any rights or claims arising from the enforcement of these rules. The Conference Organizer reserves the right, at its sole discretion and without refund, to refuse admittance to or expel from the conference anyone who is behaving in a manner that could disrupt the conference or disturb other attendees.

By participating in the conference, each attendee confrims that they have read, understood, and agreed to the terms, regulations, and policies, which are incorporated herein by reference.

The Conference Organizer and the committee reserve the right to make changes to the terms at any time without prior notice. In the event that any term or provision of the terms is deemed invalid, illegal, or unenforceable in any respect, such term or provision shall be severed and shall not affect the validity and enforceability of the remaining terms or provisions.

The Conference Organizer reserves the right to refuse admission or eject any person from the conference whose conduct is deemed disorderly or unbecoming, in compliance with accreditation requirements. To ensure a bias-free presentation, the Conference Organizer ensures that anyone in a position to control the content of the educational activity has disclosed all relevant financial relationships with any commercial interest, and reported conflicts are managed by a designated official.
